Join the fantastic team at Slumber Falls Camp! Friends of Slumber Falls (FSF) operates Slumber Falls Camp, nestled on the Guadalupe River on a quiet and peaceful 20-acre property. Founded in 1958, SFC provides an inclusive and welcoming Christian summer camp and year-round retreat setting for children, families, churches, and organizations throughout the region. The Administrative Assistant serves as the hub of activity managing communication, retreat reservations, camp registration, procurement, and record keeping. The Administrative Assistant works in close partnership with the Camp Director to ensure Slumber Falls Camp is a welcoming, safe, and well-managed place for all campers and guests. Role & Responsibilities

Office Coordination

  • Administer and effectively oversee the daily operations including office administration, retreat bookings, and camper registration. Provide responsive, warm, and courteous communications via phone, email, and in person, representing the camp’s welcoming spirit and hospitality to all.

  • Manage camp registration platform (Camp Brain), donor database (Network for Good), and retreat reservation calendar and tracking to ensure smooth internal operations, data entry, donor acknowledgment, rental calendar, and general correspondence.

  • Ensure the appropriate approvals and accurate processing and entry of deposits, bills & invoices, and credit card charges according to the organization’s financial policies and processes. Work closely with the external contract bookkeeper and Camp Director to ensure timely and accurate reconciliation and reporting.

  • Create engaging and relevant content for various social media platforms ( Facebook, Instagram, TikTok, etc.) to promote camp and retreats that also align with our mission statement. Basic knowledge of graphic design tools (Canva) is a plus.

  • Coordinate procurement for the office, kitchen, and facilities supplies ensuring the best use of the organization’s budget. Support initiatives to reduce the camp’s environmental impact through green camp initiatives and the wise use of utilities.

  • Submit monthly, quarterly, and annual water well and health and safety reporting and camp license requirements. Ensure appropriate documentation and document retention.

  • Maintain necessary files on vendors, taxes, retreat contracts, staff & volunteer training, food safety, and pool chemicals to ensure safety and adherence to state and local regulations.

Camper & Retreat Guest Services

  • Serve as a welcoming point of contact for retreat and camper inquiries. Lead camp tours for prospective retreat groups. Coordinate event contract development and camper registration process in partnership with the Camp Director. Effectively communicate camp policy, procedures, and expectations in a manner that reflects our organizational values of being an inclusive, welcoming, and faith-led organization.

  • Ensure retreat group contracts are created and signed in a timely manner. Prepare welcome packets and guest access to facilities. Maintain email communication with retreat groups to ensure they are updated on check in/out procedures as well as other helpful information prior to their arrival.

  • Coordinate with the Facilities Coordinator to ensure facilities are ready and in working order for guests and program activities.

  • Distribute and collect evaluations from campers and guests and provide regular summaries to the Camp Director and Board along with recommendations for improvements.

Summer Camp & Camp Safety

  • Support the Camp Director, SALT, and summer staff with logistics, communication, and supplies for a successful camp program.

  • Support readiness for the annual Texas Health Department inspection. Ensure staff and volunteers fulfill required training and background checks. Ensure the Infirmary is well stocked and complies with regulations.

  • Ensure Kitchen staff have the appropriate and current food handler’s permit. Coordinate annual First Aid and CPR training for all permanent and summer staff as appropriate.

  • Reflect the values of Slumber Falls Camp in your interactions with all who visit SFC. Serve as a positive role model to children, youth, and adults, and generate enthusiasm and support for camp.

Qualifications

  • Strong project management skills. Ability to balance multiple tasks and deadlines and manage competing priorities with efficiency and good humor.

  • Competency using Microsoft Office Suite, G-suite, and communications platforms (including managing social media platforms and databases).

  • Ability to work independently and manage, motivate, and work productively with other people in collaborative teams. Well-organized, detailed and customer-oriented self-starter. Adept problem solver with a commitment to quality, getting the job done right, and creative thinking in the midst of challenges.

  • Demonstrated commitment to the values of an inclusive Christian ministry where all are welcome and belonging is nurtured among a diverse community across race, gender, LGBTQ+, age, and socio-economic status. Comfort working in both office and outdoor settings.

  • Ability to walk the 20-acre camp property with guests across diverse terrain and levels, lift 40 pounds, and operate a golf cart responsibly.

Working at Slumber Falls Camp & Retreat Center

Friends of Slumber Falls operates Slumber Falls Camp and Retreat Center. We are committed to creating safe, welcoming, and inclusive outdoor ministry programs at Slumber Falls Camp where all can experience the love of God in this beautiful outdoor setting. All staff must pass a criminal background check and complete required training for working around children and vulnerable populations. From September through April, this position is 20 hours per week, Tuesday through Friday during typical office hours. Summer camp season runs May, June, July, and August and will provide an opportunity for full time hours.
